Terms & Conditions
1. By entering the Artist in Residence Competition, the Entrant will be deemed to have read and understood these terms and conditions (which may be amended or varied at any time by us with or without notice) and to be bound by them. These terms and conditions include any instructions set out with the application form.
2. The Organiser reserves the right at its absolute discretion to reject any entry that it deems inappropriate.
3. The Artist in Residence Competition is for artists, illustrators and creatives to enter. The Organiser will also accept applications from street artists and instillation artists, however instillation artists will be considered independently, not as the Artist in Residence.
4. Applications must be submitted online and must be submitted no later than 11.55 p.m. on Monday 6th October 2025. Responsibility is not accepted for entries lost or delayed as a result of any network, computer hardware or software failure of any kind. Proof of sending will not be accepted as proof of receipt.
5. Entries will only be accepted if they are submitted in full, with full contact details and accompanied by the required photographs. In addition, submission of an entry can only occur once these terms and conditions have been accepted and once consent has been provided that The London Coffee Festival organiser can use the profile image submitted to question “Please upload 3 images of your artwork for the judges considerations” on The London Coffee festival website, or where relevant.
6. By uploading your images and/or videos, you are confirming that you own the images /videos and are giving us permission to publish them. Or that you are licensed to use the images / videos and to licence us to use them without payment of a fee. You hereby grant the Organizer a limited royalty-free licence to display the submitted images / videos on The London Coffee festival website and related social media accounts, if any, in any manner at the Organiser’s discretion solely for the purpose of this competition.
7. Applicants must include the name of the person responsible for submitting the entry and to whom all correspondence concerning the competition should be addressed.
8. Applications will become the property of the Organiser and will not be returned.
9. The Artist in Residence Competition will be judged by a panel of judges selected by the Organiser.
10. A list of finalists will be selected by our panel judges once applications have closed. The list of finalists will be announced in October 2025, they will then be put to a public vote through The London Coffee Festival website to crown the winner of the competition.
11. The winner of the Artist in Residence Competition will be required to produce the following artwork for the festival:
• A minimum of four coffee / London based prints
• The design for a mural for an internal wall at The London Coffee Festival
12. The 2026 Artist in Residence needs to produce all artwork, and associated requirements such as packaging, at their own cost. They are required to arrange and pay for their own travel (and any accommodation) to and from the festival of both themselves and their artwork. They also need to organise and facilitate the sale of the artwork at the festival at prices set by the winner. The winner shall be solely responsible for all taxes payable in respect of the sale proceeds. The winner agrees that 10% of all sale proceeds for the artwork will be donated to the Organiser’s Charity Partner, Farm Africa. The winner and the Organiser will agree the relevant arrangements prior to the sale of any artwork.
13. The Organiser reserves the right to change the judging panel without prior notice to entrants.
14. The decision of the chairman of judges on all matters affecting this competition is final and legally binding.
15. No correspondence will be entered into.
16. The winner will be required to take part in some pre and post-event marketing and publicity, and consent to their name and photograph being used for such purposes.
17. Entrants consent to the publication by the Organiser in connection with the 2026 Artist in Residence of any of the documents or materials constituting their entry.
18. The winner may publicise winning this competition in the year in which it was won is stated.
19. The winner of the Artist in Residence 2026 Competition will receive two free standard entry tickets to The London Coffee Festival 2026 on 14-17 May 2026.
20. Attendance by the winner at the event will be subject to our standard Event Booking Terms and Conditions.
21. By entering the competition, all applicants will be deemed to have accepted and be bound by the rules and consent to the transfer of their personal data to the Data Controller for the purposes of the administration of the festival and any other purposes to which the entrant has consented. 22. The Organiser and Data Controller is William Reed Ltd, Broadfield Park, Crawley RH11 9RT.
23. These terms shall be governed by and construed in accordance with English law and any dispute arising out of or in connection with them shall be subject to the exclusive jurisdiction of the English courts.
